The Organizational Management Module is a very useful tool that allows for you to not only have a visual representation of your company's organizational structure but allows for you to quickly and easily edit your organizational structure at your convenience.
Create Your Org Chart
To begin, launch the Organizational Management module from the Home page of your HRIS Portal.
This will generate your Org Chart, which organizes your company into groupings by department and supervisor.
Top Tip: If you operate a larger company with many employees, you may have difficulty fitting your complete organizational structure on your screen. You can resize how the module is displayed with the zoom option found in the top right of your screen.
You also have the ability to reorder and regroup employees by selecting the Gear icon for the Group or Employee you would like to edit.
Group Options
- Edit: Will allow you to rename the group.
- Add Employee: Will allow you to search for employees by name, ID, or SSN to add to the group.
- Add Child Group: Will create a new sub-group from the group you have selected.
- Delete: Will give you the option to delete the group. If the group has any employees or child groups, we recommend moving or deleting them prior to deleting the group.
- Reorder Employees: Will make the group order editable for you to drag and drop employees to reorder them.
Employee Options
- View in Employee Management: Will take you to the employee's profile in the Employee Management module.
- Edit: Will allow you to edit the employee's Title and Supervisor without leaving the Organizational Management module.
- Update Photo: Will allow you to change or remove the employee's current photo.
- Remove: Will remove the employee from their current Group.
Creating New Groups
Clicking the Add Child Group button (from the Group gear icon--not an Employee gear icon!) will bring up the following prompt:
Here, enter the name you would like to display for your new group and click Save.
Once you have created a group, you will need to add employees to the group. There are a few ways you can do this.
Adding Employees To Groups
Method 1: The Gear Icon
First, you can click the Gear icon for the newly added group and select Add Employee.
This will open the following prompt where you can search for employees to add by their Name, ID, or SSN.
Top Tip: If you have multiple accounts for different companies, you can also search through the other companies by clicking the Account Filter drop-down menu.
Once you have found the employee you wish to add, click Add to add the employee to the new group. Once your employee has been added to the new group you will see them displayed in the group as below:
Method 2: Drag & Drop
If you already have groups established, another way to add an employee to your new group is to drag and drop them to move them.
Top Tip: If you are having trouble finding the employee in your organizational structure, you can search the employee's name, ID, SSN, or group name from the Employee Search bar. Doing so will highlight the employee, making them easier to find!
Once you have found the employee you would like to move to the new group, click on their picture and drag it to the group you would like to move them to. Doing so will prompt the following message asking if you would like to change this employees supervisor:
If you would like to keep the supervisor the same, click No. If you would like to change the supervisor, then click Yes. Clicking Yes will generate a prompt to select a new Supervisor from either the Parent Group or from the entire company.
Select the new supervisor and click Save. This will add the employee to the new group and update their Supervisor in the system. You can verify this by seeing the employee displayed in the new group as such:
Method 3: Unassigned Employees
Finally, employees without a Supervisor in their Employee Profile will be marked as Unassigned. To view and assign these employees (if any), select the red text Click here to assign.
Doing so will open a list of your unassigned employees. Simply click on an employee and drag them to the appropriate group to assign them.
Removing Employees From Groups
If you would like to remove an employee from their group, hover over the gear icon on the employee's contact card and select Remove.
Saving Your Org Chart
You have the ability to save your Org Chart as a PDF by selecting Export as PDF.
If you would like, you can choose to Hide Contact Information before printing.
Additionally, you have the option to Collapse / Expand your org chart to view or hide the employees within your groups.
