The Data Load Module functions as a file exchange server to upload employee files and import employee information into your HRIS portal.
3 Main Uses
There are three primary uses for the Data Load Module, including:
- Mass Import Employee Information - Export data from an external source with employee information (for example, benefits elections) and import it to update employee information in our system
- Import PDFs to an Employee's "My Files" - Upload a file to be stored in a particular employee's digital filing cabinet (the "My Files" section of their ESS Portal)
- Bulk Upload Employee Files - Upload a file to be stored in all employees' digital filing cabinets (for example, an Employee Handbook or Benefits Brochure)

However, some of the steps can be a bit technical. Because this module uses SFTP (SSH File Transfer Protocol) to keep your data secure, you will need to enter information such as a Host Name, Port, Username, Password, and Host Key to complete Bulk Employee File Uploads.
If you don't have this information readily available, please reach out to your internal IT department for assistance!
Preparing Your Data for Import
When preparing your data for import to update employee records, make sure each file is in standard CSV file format with " as a text qualifier.
You will need to include "CO" (your company ID number) and "ID" (the employee ID number) as required fields for each record.
When adding a new Data Load, you can hover over the Gear icon to view a File Spec or Download Template File.
